Design campaigns

Who can use this feature?

  • Users who can view items within published SuccessBLOCs (per team) 
  • See more for advanced permissions, including who can and edit items, invite collaborators to, and publish SuccessBLOcs
  • Available on all plans

Access the campaign designer when creating a new campaign or editing an existing campaign. The campaign designer includes drag-and-drop components. You can also edit HTML directly for individual text elements or the entire campaign.

Global admins can define default campaign theme and footer settings in Settings > Customer Engagement > Campaigns > Theme. Overriding the global theme within the campaign designer applies only to the selected campaign and will not change global settings.

  1. Components tab: Drag and drop a component or layout into the design of the campaign. Optionally enable/disable a campaign footer.
  2. Design tab: Click on a component within the campaign to modify design settings for each component (see below). Hover over a component within the campaign to see options for moving, copying, or deleting a component
  3. Settings tab: Modify the settings that apply to the entire campaign design, including options for style, size, color and background pattern. Optionally override the global theme to choose a different background color. You can also access the HTML source code </> for the campaign from this tab.

Component settings

Text

From the Design tab, you can modify padding around the text component.

Text box components include a formatting toolbar to adjust font, alignment, colors, links, emojis, and more. Optionally add dynamic data or modify the HTML within the text box directly (<> button).

If enabled, you can generate text with the help of AI.

Button

From the Design tab, you can modify the following properties:

  • Button text: Keep button text short and actionable
  • Link to:
    • External URL: Enter a valid URL. Optionally add dynamic data to any part of the URL.
    • Destination page: Choose from available destination pages, which provide a custom landing page to optionally send data back to Totango. (Manage destination pages on the SuccessBLOC Assets tab.) Optionally override destination page settings to update account attributes, user attributes, or user actions.
  • Track link: Optionally track clicks on the link. If enabled, specify a unique name for the tracked link, which you can query within campaign segment filters. Each tracked link must be unique per campaign.

    After the campaign is sent, you can use the "Engaged with [ button or link name]" filter in segmentation. However, if you use the same URL for multiple buttonseven if they use unique tracking namesengagement will be tracked under one metric. To allow accurate engagement tracking, please ensure that when using multiple buttons with the same URL, you use the same name. If you want to track engagement separately for the same destination, we recommend using unique names and adding a random URL parameter to the end of the URL to make it unique (e.g., https://google.com?abc=1, https://google.com?abc=2).

  • Style: Choose from the global theme's primary or secondary button styles. This option is helpful if you have multiple buttons within the same email and want to differentiate them. Optionally override the global theme to specify your own button styling.
  • Position: Choose width and alignment
  • Button padding: Choose padding around the text within the button
  • Component padding: Choose padding around the outside of the button

Image

From the Design tab, you can modify the following properties after uploading an image:

  • Use company logo: Replace component with the logo defined in organizational theme settings
  • Width / Height: Adjust dimensions in pixels
  • Image description: Add alt text for screen readers
  • Position: Choose alignment (left, center, right)
  • Link: Enter a valid URL for when the button is clicked. Optionally add dynamic data to any part of the URL.
  • Track link: Optionally track clicks on the button. If enabled, specify a unique name for the tracked link, which you can query within campaign segment filters. Each tracked link must be unique per campaign.

    After the campaign is sent, you can use the "Engaged with [ button or link name]" filter in segmentation.

Video

From the Design tab, you can modify the following properties:

  • URL: Add a YouTube, Wistia, or other video hosting link. Specify thumbnail width.
  • Video caption: Add text to appear above or below the video
  • Alt text: Add alt text for screen readers
  • Position: Choose alignment (left, center, right)
  • Padding: Choose padding around the outside of the video

Social icons

From the Design tab, you can modify the following properties:

  • Icon properties: Add or modify the links for each icon you want to use.
  • Style: Optionally override the global theme to specify your own icon styling.
  • Position: Choose alignment (left, center, right)
  • Space between icons: Choose the space between icons in pixels
  • Padding: Choose padding around the outside of the video

Divider

From the Design tab, you can modify properties of the divider (horizontal rule), including thickness, width, color, padding, style, and position.

NPS

From the Design tab, choose the NPS attribute you want to use. See: Manage NPS campaigns.

CSAT

From the Design tab, choose the NPS attribute you want to use. See: Manage CSAT campaigns.

Usage card

Usage cards allow you to dynamically show metrics or other attributes in a card format. For example, you may send campaigns with usage cards to a key contact once a month to show license utilization for the recipient's account. From the Design tab, you can modify the following properties:

  • Layout: Choose horizontal format or tile (scorecard)
  • Card settings: Choose the metric or attribute to use, such as License Utilization. Include a fallback in the event the value is not available for the selected recipient's user or account profile.
  • Display text: Add text to show for the metric label
  • Icon / color: Choose from the available icons or choose no icon
  • Subtitle: Add text next to the display text
  • Style: Modify additional styling properties
  • Padding: Choose padding around the outside of the card

Signature

Choose which signature to dynamically populate when the email is sent: Sender or Company.

Emails with personal signatures typically receive higher open rates than those that come from a company. A common practice is to select a role for sender (Success Manager) and have Totango populate contact information dynamically.

From the Design tab, you can modify the following properties:

  • Sender's signature: Totango populates with the sender's signature set up in the sender's Totango user profile. If the Totango user does not have a personal signature when the campaign is sent, Totango will fall back to the company default signature. 
  • Company signature: Totango populates with the company signature set up in Settings > Customer Engagement > Campaigns.
  • Position: Choose alignment (left, center, right)
  • Padding: Choose padding around the outside of the signature

You can add your personal signature in a plain text campaign template as well, check the Signature option, and select company or sender's signature. 

Segment Table

Incorporate segment data in a tabular format. Unique to segment tables, you can optionally set conditions based on dynamic data (learn more).

Footer

From the Components tab, clear the option to disable the default footer.

If you disable the footer, we recommend you add an unsubscribe link somewhere in your campaign body (text box component).

Columns

From the Design tab, you can modify the following properties:

  • Padding: Choose padding around the outside of the column(s)
  • Background color: Choose a background color and pattern to use just for the column component. This may differ from the overall settings of the campaign to add visual variety.

Add dynamic data

Dynamic data is available to include in the text box or button components within campaigns. Including placeholders within the campaign content automatically populates values for the selected user(s) when the email is sent. Dynamic data provides personalization to maximize email engagement.

Available dynamic data points may include:

  • Account attributes
  • Account attributes
  • Custom attributes
  • User actions
  • Rollup metrics
  • Time*

*Time options include current month and previous month and are dynamic based on the calendar date in which the email is sent.

For each dynamic data point you add, it's recommended to specify a static fall back value to use in the event a matching user profile does not have the value populated. Example: "Dear [First Name]" could have a fall back value of "Dear [valued customer]" if a first name is not defined in the user's profile.

Attribute names depend on how your global admin has set them up in Data Modeler. 

To add dynamic data to text components:

  1. Within text components, click Add Data from the formatting toolbar, or start typing $ to see a list of attributes appear.
  2. You can also add data to links within button components 
  3. Click the ! option to add a fallback value.

The dynamic data includes a green check mark.

 

To add dynamic links:

Dynamic links allow you to add personalization to links. For example, you could send a webinar invitation the pre-fills the registration form based on their user attributes. 

  1. Within button or image components (or within a link in a text component), click Add Data from within the external link URL.
  2. Add a fallback.

Modify overall HTML

If you prefer to design your content without one of Totango's pre-defined templates, use the custom HTML feature to insert source code.

Considerations for using custom HTML:

  1. Only use linked images. Do not attach images to the code
  2. Only use in-line styling. Email campaign does not support header CSS. Do not include @media definitions
  3. If you cannot see the preview it means that the HTML code cannot be parsed
  4. A popular request is to customize Totango unsubscribe link. The right way to configure it is to use "unsubscribe" id for an unsubscribe div in your custom HTML. Example:

FAQ

Question: When trying to add a Youtube link, I get an error.

Answer: Copy the YouTube link from the address bar or by clicking on Share > Embed from YouTube. Campaign video components support the following format for YouTube links: [youtube link]/embed/-[videoID] or [youtube link]/watch?v=-[videoID]


Question: How do I change the color of the social icons in my campaigns?

Answer: Global admins can adjust the default icon colors in Settings > Customer Engagement > Campaigns > Theme. You can override these settings individually within a campaign. Select the Social icons component from the campaign designer, and click the Design tab. Click Override global theme to expand style options.

Question: Can I use an image as the body of my campaign? How can I ensure the image resolution is the right quality?

Answer: Although you can use an image as the full body of your campaign, it's generally not recommended. Text within an image may not appear in the quality you desire. Create an image in the dimensions you want (recommended no wider than 600 pixels), and add it directly to the message HTML (see above).
