Text filter options

Who can use this feature?

Text-based attributes allow the following options within segmentation, and a combination of: 

  • Paste one or more values: Choose between "Any Value" or "No Value; choose from any existing value*; or enter a new string. Multiple values entered are processed with an OR operator.

    *Some reserved data points require you to enter the first 2 characters before displaying existing values as options.

  • Partial match: Match any part of the entered text.
    • Starts with: Optionally specify that values must start with the entered text.
  • Exclude selected: Exclude records that contain the entered values.

    Records that have null values for the selected attribute will be included.

  • Match only: Must match the exact string of values. Available for text-based collection filters or users filters on the account object.*

    *See below for considerations when using "match only" on user data in account segments. Not recommended to use "match only" in user segments.

Use text filters

  1. Within a segment, campaign, SuccessPlay, or other segmentation engine, click to add a filter.
  2. Locate the text attribute you want.
  3. Choose the values you want based on the specific stage(s) you want to query on. Examples:
    • Don't include records with an Email that contains "totango" (e.g., totango.com, totango.co).
    • Include records with a Success Manager that contains "Bluth" in any part of their name (e.g., Lindsay Bluth, Lucille Bluth).
    • Include records that have a Calendar Booking Link specified.
  4. Click Apply Filter to view the matching records.

Use "match only" on user filters inside accounts

The "match only" check box changes how filters work when looking at user data in an account segment.  When you use “match only,” the system checks all users within an account.

  • The account only matches if every single user has a value that's on your selected list.
  • When “match only” is off, the account matches even if just one user has a value from the list.

Example

Let's say you’re filtering by user attribute text1 and looking for values "aa" and "bb."

  • Account Test1:
    • User 1: "aa"
    • User 2: "bb"
      ✅ With "match only" → it matches
      ✅ Without "match only" → it matches
  • Account Test2:
    • User 1: "aa"
      ✅ With and without → it matches
  • Account Test3:
    • User 1: "aa"
    • User 2: "cc"
      ❌ With "match only" → doesn’t match (because of "cc")
      ✅ Without "match only" → it matches
