Connect Google mailboxes with Totango

Configure a Google mail integration to allow your teams to sync their Google emails with Totango. Once enabled globally, each Totango user can optionally turn on / off a connection with their own Google mailboxes (Gmail) from within their Totango user profile.

Steps to enable

  1. Enable the Google Mail integration (global setting)
  2. Individually connect mailboxes (per user)

Once your team members connect, the integration will:

  1. Automatically identify any emails involving Totango contacts from the past 30 days (inbox and outbox).
  2. Create a corresponding touchpoint in Totango for each email.
  3. Sync updates from Gmail to Totango.

What you need to know

  • It may take up to 15 minutes for changes to sync to Totango. Learn more about sync schedules.
  • All qualifying emails will sync. The system does not currently allow custom rules or filters.
  • It's advised to stop using the email-to-touchpoint feature (touchpoints@totango.com) after connecting your Google mailbox with Totango. 
  • Any changes needed after the touchpoint is created (such as edits or deletion) must be done manually within Totango.

Compare grouped data with the matrix component

The matrix component adds a powerful way to visualize and compare grouped data in custom reports. Use it to break down key metrics by categories, like region or segment, and apply custom aggregations to uncover insights.

Enhancements to My Business

Based on customer feedback, the following enhancements are now available.

Accounts filter in My Business views

The Account filter defaults to "Accounts assigned to You." Optionally toggle to "All Accounts" within the team account set.

If employee hierarchy is enabled in your instance, the filter dynamically defaults based on whether or not you have direct reports. Managers have an additional option: "Accounts Assigned to You + Team Members Assigned to You" | "All Accounts"

Removal of portfolio scope filtering (gear icon) in My Business views

Previously, the portfolio scope filter (gear icon) persisted between Workspace and My Business views. However, the filtering options available within My Business are sufficient on their own and don’t require an additional layer. As a result, the portfolio scope filter now applies only to Workspace views.

Numeric badge counts in Workspace views

You’ll now see numeric badge counts next to each sub-tab in Workspace views, dynamically reflecting the current filters applied.
