The Task Statuses page lets you to define your own task status labels and organize them within system-defined status categories. This allows your team to track task progress in a way that aligns with your internal processes, while ensuring Totango can consistently interpret the state of each task.
Understanding task status categories and labels
Each task status label belongs to a task status category. The category tells Totango how to interpret the task state, while the label lets your team describe the task status in terms that match your internal workflow.
Task status categories
Totango recognizes the following system-defined task status categories, which cannot be modified:

Task status labels
Within each task status category, you can create one or more custom status labels to represent the specific state of a task. One label has already been created for each category, which you can edit or replace.

Customize task status labels
Each status category must have at least one label. You can also set the default label, add additional labels, choose a color, and control the order in which labels appear for users.
- From the left nav, click Settings.
- Within Settings, expand Data Management > Task Statuses.
- Click New.
- Choose the category, label name, and color.

Optionally set the status label as default.
New tasks will automatically use this label until changed. Only one default status label can exist.
- Click Create.
FAQs
Question: How are the legacy task statuses handled?
Answer: The existing Task Status field (open | closed) remains available for segmentation and integrations.
- Tasks previously marked open are automatically assigned the Not Started | Not Started task status category / label.
- Tasks previously marked closed are automatically assigned the Completed | Completed task status category / label.
Question: Does the default task status label apply to tasks created by a SuccessPlay?
Answer: If a task action in a SuccessPlay does not specify a task status label, the task will use the default status label defined in global Settings at the time the SuccessPlay runs. If a task status label is specified in the task action, the task will be created with that status, regardless of the global default.
