Maximize Totango: A 5-step guide to driving team adoption

Re-energizing team adoption of Totango can be particularly difficult after initial launch momentum fades or following leadership transitions. Whether you're onboarding new team members or seeking a system refresh, this guide offers strategies to rebuild a robust foundation and optimize your team's utilization of Totango.

Refer to our team enablement and adoption article for prescriptive change management in the context of rolling out new Totango implementations.

1. Build daily habits

Totango’s powerful automation and data insights can only have an impact if your team members log in and engage. Here are strategies to build daily habits:

  • Encourage dedicated time: Recommend team members block off 30 minutes daily for planning or portfolio focus.
  • Model engagement: Set the tone by using Totango yourself—check notifications, explore account profiles, and monitor segments.
  • Recognize contributions: Comment on team-added touchpoints in account profiles to demonstrate Totango's transparency.
  • Lead with Totango: Use Totango in team meetings and 1:1s to build confidence and reduce change-related stress.
  • Leverage peer influence: Allow team members to share their Totango experiences in meetings to inspire best practices.
  • Create a Support Hub: Set up an “Ask Totango” chat/channel for questions and idea sharing, fostering collaboration, and identifying champions.
  • Host office hours: Schedule sessions where champions can answer questions and share tips, reinforcing platform use. See more
  • Set goals and challenges: Establish Totango-related goals and use visuals to illustrate key behaviors and skill development.

2. Require training

To set the foundation for effective use with new team members, encourage completion of the Totango for Daily Use self-pace course. Using a combination of videos, articles, and knowledge checks, this course is designed to help individual contributors learn key features to confidently use Totango in their daily work. Completion of all modules in this course awards participants with 3 points in the community—and a badge to share on their LinkedIn profiles!

After completing the self-paced coursework, we also offer live "day in the life" sessions to get practical advice and ask questions.

Self-paced courses and live sessions require a community membership to register. Ensure your team has joined the Totango Community as a first step.

3. Monitor team usage

The Team Spotlight in Totango provides a comprehensive view of your team’s activities, helping you track both productivity and performance at team and individual levels. With two dashboards—Account Coverage and Work Focus—you can easily monitor efforts, celebrate wins, and even gamify your team’s work. Consider leveraging the Team Spotlight during your next one-on-one.

  1. Account Coverage dashboard: Get a high-level view of your team’s activities, including touchpoints, tasks, and account coverage, helping prioritize accounts that require attention. Track key metrics and health from this screen.
  2. Work Focus dashboard: Analyze task completion rates, overdue tasks, and ongoing SuccessPlays to measure productivity, spotlight areas for improvement, and identify where your team needs to spend more, or less time.

4. Host internal office hours

Schedule 30 minutes of recurring Internal Totango office hours for your team and cross-functional stakeholders to ask any questions related to the platform. Initially, have a Totango Admin lead these sessions, but eventually, internal champions can take the reins. Document questions and answers to close the loop with your team afterward.

Some attendees may just want to listen and learn, so it's beneficial to have a topic ready in case no one has questions. Share insights you've learned or ask the team to share their own experiences with Totango. Potential topics:

  • Account Profile walkthrough
  • Health Score deep dive
  • Creating a portfolio segment
  • Meeting prep or follow-up with Totango
  • Other topics from the Totango community

If possible, record these sessions and share them with the larger organization, including a summary of covered topics for easy navigation.

5. Develop ready-to-go language for internal employee wiki

To help you get the most out of Totango, prepare a ready-to-use resource for your internal knowledge base (Confluence, Notion, Guru, SharePoint, etc.). Provide a snapshot of Totango, making it easy for all departments in your organization to understand how to leverage this impactful tool.

Having a dedicated internal wiki page for Totango is essential for several reasons:

  • Centralized knowledge: It serves as a single source of truth for your team, ensuring everyone is on the same page regarding Totango’s functionalities.
  • Improved onboarding: New team members can quickly get up to speed by accessing this resource, reducing the learning curve and increasing productivity.
  • Encouraged adoption: By highlighting the features and benefits of Totango, you can foster a culture of utilization across your organization, ensuring everyone maximizes the platform’s potential.
  • Cross-departmental collaboration: A well-documented resource promotes collaboration between departments, as everyone can understand how Totango can support their specific roles and objectives.

Personalize your document with any relevant, company-specific details or resources to ensure alignment with your teams and processes, like who owns Totango in your organization and which departments have access.
